Data Maintenance

Sage Evolution Backups and Disaster Recovery Plans

It is important for a database administrator to constantly protect the integrity of a company’s data with scheduled SQL and System Backups in place. This will ensure that your company will have the ability to recover quickly if a database, for whatever reason, gets corrupted, accidentally deleted, or goes into an unusable state, with little to no loss.

By running scheduled SQL and System backups at regular intervals you can easily and seamlessly recovery lost data. There are various options with different Pros and Cons when discussing the process of SQL and System backups for Sage Evolution.

An Evolution backup generally refers to the data of Evolution and not the program itself. There are 3 SQL Data Backup options, a Full Evolution Data Backup, a Differential Backup, and a Log Backup. Technically speaking this is not an Evolution backup but a SQL backup as Evolution stores its data in the SQL database.

Full System Backup

The understanding of a full system backup is that not only Evolution gets backed up, the program and/or the data but everything else that is on the server. This may include Mail, Outlook, Documents, Office 365 and more. This is normal practise in today’s VM environment, and this process is relatively easy to implement. By default, a system backup could take hours to complete. The advantage of a system backup is that anything that was on the server could be restored. The disadvantage is it takes time and requires plenty space. If the Full System Backup is scheduled to run only once a day, the data between the last system backup and the current time must be recaptured.

Full Evolution Data Backup

This is a full Evolution SQL Data Backup allowing a user to copy and paste the backup from one computer to another and continue to trade in Evolution from the new computer. All data is readily available as per the time of the last full backup. We recommend this to be done at least once a day and on the last day of each month. Because ALL Evolution data is being backed up, depending on the number of transactions and users, this backup could be quite large.

Evolution Differential Data Backup

This backup differs from the Full Backup in that it only creates a backup with the difference between the last backup and now. If for instance there were no transactions between the last full Backup and now, the differential backup would not have any data to backup. By its very nature, this type of backup would be relatively small and very quick. It is our policy with corporate clients to make differential backups every hour. This ensure that we would be able to restore data to the last hour. This is a huge improvement in comparison to only having a daily Full Evolution Backup.

Evolution Log Backup

The Log Backup option is not widely known but important. A log Backup allows the restoring of data to literally a second. We recommend log backups are scheduled to run every 10 minutes, which will only take a couple of seconds to create and is minimal in its size. The Log Backup also serves a purpose to maintain a manageable size of your database and avoid it from taking up too much disk space.
